Role Summary
We are seeking a driven, client-focused Project Coordinator to join the team of a top-tier U.S. commercial furniture dealership representing leading industry brands (Haworth, Steelcase, Kimball, Teknion, etc.). In this role, you will drive project execution and support sales growth by managing client relationships, coordinating order workflows, and managing dealership ERP systems (Hedberg, Khameleon, NetSuite). Working closely with sales reps, client stakeholders, and installation teams, you will ensure fast-turnaround, accurate order processing and seamless project deliveries from pitch to final sign-off.
Key Responsibilities
- Dealership ERP & Order Management: Enter, track, and manage complex bills of materials (BOM), quotes, purchase orders, and change orders using industry-specific ERP software such as Hedberg, Khameleon, NetSuite, or Project Spec.
- Client & Sales Support: Serve as the primary operational point of contact for clients, sales leads, and external partners (A&D firms, general contractors). Support sales initiatives by delivering accurate price quotes, spec checks, and material proposals.
- Project Lifecycle Tracking: Manage project timelines, delivery schedules, and job costing within the ERP system to ensure milestone accuracy, clean invoicing, and on-time installation.
- Technical Spec Verification: Review sales packages, technical floor plans (CET Designer/AutoCAD), and site conditions to audit specifications, verify finishes, and cross-check code compliance before order entry.
- Account Servicing & Problem Solving: Proactively address manufacturer lead-time updates, shipping delays, and field adjustments to maintain high client satisfaction and retention.
Qualifications
- Experience: Minimum of 2-3 years in commercial furniture project coordination, dealership sales support, or order entry operations.
- Dealer ERP Systems: Hands-on experience with dealership management and ERP platforms—specifically Hedberg, Khameleon, NetSuite, or Project Spec (CAP/2020).
- Design & Spec Software: Proficiency with CET (Configura) Designer or AutoCAD for drawing verification and order extraction. (Interior design background is a plus, but operational accuracy and sales/ERP management are primary).
- Communication: Exceptional verbal and written English skills for managing client communications and vendor relations across U.S. time zones.
- Product & Process Knowledge: Solid understanding of commercial furniture product lines, finish schemes, lead-time management, and building codes (ADA, ergonomics).
- Remote Workspace: Dedicated home office setup with a high-performance PC/laptop and high-speed internet (minimum 50 Mbps upload/download).
